Coal Retreats ("we", "us", "our") operates www.coalretreats.com. This page explains how we collect, use and protect your personal data when you use our website or enquire about a stay.

2. What data we collect

Enquiry form: name, email, travel dates, group size, trip type and any message you send us.
Email correspondence: anything you send to our bookings address.
Usage data: anonymised analytics (pages viewed, approximate region, device type) collected via Google Analytics or similar, if enabled.

3. Why we use it

To respond to your enquiry and provide availability and pricing.
To manage your booking and stay if you proceed.
To improve the website and measure how people find us.
To comply with our legal and tax obligations.

We rely on the lawful bases of consent (when you submit the form), contract (once you book) and legitimate interest (site analytics, fraud prevention).

4. Who we share it with

We do not sell your data. We share it only with:

Our hosting provider (for website delivery).
Our email provider (to receive and reply to your enquiry).
Analytics providers (anonymised usage data only, if enabled).
Authorities if required by law.

5. How long we keep it

Enquiries that do not convert to a booking are kept for up to 24 months then deleted. Booking records are kept for up to 7 years to meet tax and accounting requirements. Analytics data is aggregated and retained for up to 26 months.

We use a small number of cookies:

Essential: required for the site to work (no way to opt out, no personal data).
Analytics: anonymous page-view counts via Google Analytics (optional; you can decline via the banner).
Third-party: our homepage embeds a YouTube video via youtube-nocookie.com which may set cookies once the video plays.

Our hosting and email services may be based in the UK, EU or US. Where data leaves the UK/EU, we use providers that meet standard adequacy or equivalent safeguards.

The site is served over HTTPS. We follow reasonable technical and organisational measures to protect your data. No system is ever fully secure, but we do our best.

10. Changes

We may update this policy from time to time. The "last updated" date at the top will change. Material changes will be highlighted on the homepage for a period after they go live.
